This page is maintained by Equillis Intelligence to explain what personal data we collect when you use the Equillis platform, why we hold it, and what rights you have over it. It describes our current practices and is not an independent audit or certification.
Who we are
Equillis Ltd, trading as Equillis Intelligence ("Equillis", "we", "us"), is a private limited company registered in England and Wales, company number 17383990. We provide a subscription intelligence platform that scores UK vehicle crime risk across the strategic road network, motorway service areas and local areas.
For the purposes of UK data protection law, Equillis is the data controller for the personal data described below. You can reach us at Henry@equillis.com.
What data we collect
- Account data — the email address you register with, and authentication details handled by our hosted authentication provider. We never store your password in readable form.
- Subscription data — your membership status, trial dates and renewal state. Card details are entered directly with Stripe and are never stored by Equillis.
- Usage data — searches you run inside the platform (for example a postcode or route lookup) and basic technical logs needed to keep the service running and secure.
- Correspondence — anything you send us by email.
We do not knowingly collect special category data, and we do not ask you to upload personal data about your drivers or customers in order to use the platform.
The crime data we analyse
The intelligence in Equillis is derived from published UK police data. That dataset is anonymised at source and geocoded to approximate locations — it does not identify victims, suspects or vehicles. Nothing in the risk scores, maps or dashboards relates to an identifiable individual.
Data currency
The underlying police data is refreshed every month once the latest published dataset becomes available. Because of the release cycle of the source data, the intelligence you see is typically around two months behind real time. This is normal for this dataset and affects all users of the platform equally.
Coverage across police forces
Publication of vehicle crime is a force-by-force process, so a small number of forces can fall behind the national release at any given time. Rather than assert coverage, we check it against the live dataset and publish a force-by-force status on our data coverage page, updated automatically. Where a force is behind, the affected area is flagged in the product: a low score there reflects an absence of published records, not an absence of risk. When a force resumes publication its history is backfilled at the next monthly refresh and scores recalculate on their own.
Why we use your data (lawful bases)
- Contract — to create your account, give you access to the platform and manage your subscription.
- Legitimate interests — to keep the service secure, prevent abuse, and improve how our tools work.
- Legal obligation — to meet accounting, tax and other statutory duties.
Who we share it with
We use a small number of service providers who process data on our behalf:
- Stripe — payment processing and subscription billing.
- Our hosted backend and database provider — account records, authentication and application data.
- Our hosting and content delivery provider — serving the application to your browser.
We do not sell your personal data, and we do not share it for third-party advertising.
Cookies and similar technologies
We use only the cookies and browser storage needed to run the service — principally to keep you signed in and to complete checkout securely. We do not run third-party advertising or cross-site tracking cookies.
Security
Access to the platform requires an authenticated account. Data is transmitted over encrypted connections (HTTPS) and stored with our hosted database provider, with row-level access rules so that account data is only reachable by the account it belongs to. No system is perfectly secure; this section describes the controls we operate, not a guarantee.
How long we keep it
Account and subscription records are retained for as long as your membership is active, and afterwards only as long as needed for legal, accounting and dispute-resolution purposes. You can ask us to delete your account at any time and we will remove your personal data except where we are required to keep it.
Your rights
Under UK GDPR you can ask us to give you a copy of your data, correct it, delete it, restrict or object to our use of it, or transfer it to another provider. Email Henry@equillis.com and we will respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Changes to this policy
We may update this policy as the platform develops. Material changes will be reflected in the "last updated" date at the top of this page.
